You can bill a client in the currency they actually pay in, for example a client who pays in US dollars while your firm works in dirhams. The invoice goes out in their currency, and your books record it in your own currency at the rate you set. This guide walks you through it from login.
Set the client's currency
Each client has one billing currency. You set it when you add the company, and it stays the same for every invoice and quotation you raise for them.
- Log in to your workspace.
- In the left menu, under Clients, click Companies.
- Open the client, or add a new one with Add company.
- In the Currency field, pick the currency this client pays in.
- Save.
See How to add a client company for the full add flow.
Note
Once a client has invoices, their currency is fixed so their billing stays consistent. Pick the right currency when you set them up.
Raise the invoice with an exchange rate
When you raise an invoice for a client whose currency is not your firm's own, the builder shows an Exchange rate field.
- Build the invoice as usual. See How to create an invoice.
- The currency is locked to the client's currency, shown next to the totals.
- In the Exchange rate field, enter how much one unit of the client's currency is worth in your currency. For example, if 1 USD is worth 3.67 AED, enter 3.67.
- Preview, then send.
The client sees the invoice in their own currency. Your books record the same invoice in your firm's currency, worked out at the rate you entered.
Important
Enter the exchange rate before you send a foreign invoice. It is how the amount is recorded in your own currency. If you leave it out, the invoice cannot be raised.
When the client pays
Record the payment as normal. See How to record a payment. If the invoice is in a foreign currency, you can enter the amount you actually received in your own currency, so your books and bank match to the last unit. If the rate has moved since you raised the invoice, the difference is handled for you as a small gain or loss.
Why this matters
Your client gets a clean invoice in the money they understand, and your accounts stay in one currency so your reports and totals always add up. The figures you see across the app, such as Outstanding and Paid, are shown per currency so nothing is ever added together wrongly.
