Who can create invoices and record payments

Creating invoices and recording payments are two staff permissions. Here is which roles hold them, where the buttons appear, and why a teammate may not see them.

Two separate permissions

Billing in IzzyTap rests on two staff permissions:

  • The power to create invoices and quotations.
  • The power to request payment and mark invoices paid.

A staff member's role decides whether they have each one. If a teammate cannot see a billing button, it is almost always because their role does not include that permission.

Which roles can do it

These roles can both create invoices and quotations and mark invoices paid:

  • Administrator (the firm owner).
  • Operations manager.
  • Case manager.
  • Billing officer.

These roles cannot:

  • Document officer.
  • Support agent.
  • AML compliance officer.

So a support agent or document officer will not see the invoicing and payment controls at all, by design.

Where the buttons appear

The billing controls on a company's Payments tab, which only staff with the right role can see.

For a staff member who has the permissions, the controls show up in a few places:

  • On a company's Payments tab, the Mark paid button on each unpaid invoice, and the Send invoice and Create quotation buttons.
  • Inside a request thread, the option to raise a payment request, which becomes an invoice in the conversation.
  • On the firm's Invoices and Quotations pages under Finance.

Note

The protection is enforced on the server, not just by hiding buttons. Even if someone reaches a billing action another way, it is refused unless their role holds the permission.

The money reports are separate

Your Accounts, the firm-wide reports and revenue totals that are only available to the firm owner.

Being able to mark an invoice paid is not the same as being able to open the firm-wide financial reports. Your Accounts, which includes the Receivables and Payments reports and the firm's revenue totals, is only available to the firm owner. So a billing officer can record payments and issue invoices, but will not see the whole-firm accounts and revenue.

Changing what a teammate can do

The Staff list where an administrator can change a teammate's role to grant invoicing and payment permissions.

If someone needs to invoice or take payments and cannot, an administrator can change their role. See staff roles for what each role can do and add a team member for setting the role when you invite someone.

Tip

Give day-to-day billing staff the Billing officer role if that is all they need to do. Use Case manager or Operations manager when the same person also runs the client's cases.
