Understand your plan and usage limits

Read the Plan & usage screen: your seat and client counts, the near-limit warnings, and what happens when a plan is full.

The Plan & usage screen shows how much of your plan you are using right now. It answers two questions: how many team members and how many clients you have, and how close you are to the limits of your current plan.

Open Plan & usage

  1. Log in to your workspace.
  2. In the left menu, under Admin, click Plan & usage.

Every staff member can open this screen.

What the screen shows

At the top you see the name of your current plan, for example Growth plan, with a small status chip next to it:

  • Healthy (green): you have plenty of room.
  • Nearly full (amber): you have used 80% or more of a limit.
  • Limit reached (red): you are at a limit and cannot add more until you have more room.

Below that are two gauges side by side.

Team members

This counts the active people on your staff who can sign in to the admin. It shows a big number for how many you are using, then a smaller number for your limit, for example 4 / 5. A coloured bar and a percentage show how full it is, and a line underneath tells you how many seats are left, such as 1 seat left on your plan.

Clients

This counts your active client companies. It reads the same way: how many you have used, your limit, the bar, the percentage, and how many clients are left on your plan.

Note

The bar colour is only about how full the plan is. Green means healthy, amber means you are getting close, and red means you are at the limit. It has nothing to do with your brand colours.

When a plan is full

If you reach a limit, the gauge turns red and a note appears at the bottom explaining that new team members or new clients cannot be added on your current plan until you have more room.

There are two things worth knowing about how this is enforced:

  • When you try to add a team member or a client while at the limit, the action is blocked and you are told you have reached your plan's limit.
  • When a client brings themselves in, for example by accepting a quotation or paying an invoice, they are always let in even if you are at your limit. They still count on this screen, so you may briefly go over. This keeps you from turning away paying business.

Changing your plan

There is no self-serve upgrade button inside the admin. Plans are set by your provider. If you need more seats or more clients, contact them to move to a larger plan, and this screen will update to match.

An unlimited workspace

Some internal workspaces are not metered at all. If yours is one of those, this screen simply says the workspace has no limits and shows the team members and clients as unlimited.
